This is a internship placement for 12 weeks, you will be required to travel to Stirling as part of the program .

Your new role

Your placement with Robertson FM, based in Wakefield will give you the perfect opportunity to turn academic theory into practice. The 12-week placement is designed to give you an insight into a multi-faceted Facilities Management contract. The experience will allow you to gain valuable work experience in a fast paced and dynamic environment.

You will work closely with senior management to support the day-to-day operations of our Facilities Management business, in an administrative role.

You will have the opportunity to gain hands-on experience in providing administrative support to the contract operational team developing, improving, and implementing systems and procedures across various aspects of the operations.

DUTIES:

  • To interact with all internal teams to discharge the consistent, effective, and efficient delivery of tasks and in doing so, support best practice.
  • Assist in the establishment of systems of monitoring and control, designed to ensure appropriate control over all critical service points, to maximise customer satisfaction, minimise customer complaints and other adverse feedback.
  • Comply with Robertson/Council policies, procedures, and guidelines.
  • To support on finance activities as required including but not limited to ordering of works, processing of invoices, debt recovery as required.
  • Support ensuring the CAFM system is maintained up to date and planned and reactive works are managed to ensure timely, quality delivery and mitigate the potential for failure in line with contractual KPI’s. Proactive tracking, monitoring, and closing of jobs to timeframe.
  • Liaison with building users to ensure access for maintenance requests is granted. Follow each request through from receipt to completion, communicating with the end user to ensure the task is done to their satisfaction and in line with subcontractor KPIs
  • Be effective, flexible and efficient in coping with varying demands.
  • Follow up with sub-contractors to ensure that worksheet and statutory compliance paperwork is received in a timely manner and then uploaded to and stored on the CAFM system.
  • To support the small works process in an administrative capacity.
  • To support the internal functions with various administrative duties.
  • To support the management team with the production of month end reporting for client issue, internal monthly reporting requirements and data capture.

SKILLS AND QUALIFICATIONS:

  • Currently pursuing further education in a relevant field such as Business Administration, Business Management, or similar
  • Have excellent communication skills and a good telephone manner.
  • Have a flexible approach to work, able to adapt to peaks and troughs in demand and be well organised.
  • Good level of computer literacy.
  • Ability and desire to work as part of a team.
