Role: Bid Co-ordinator

Location: Stirling

Your new role

What you'll do:

  • Document control / responsible for the safe storage of Bid documentation (legal, ITTs, PQQs, tenders/bids, Gateways, and any other relevant correspondence), all in accordance with Robertson Management System (RMS)
  • Precon main point of contact for Autodesk Construction Cloud ACC administration including issue of log-in details, setting up projects and the folder structure, QA. checking, electronic filing, managing workflows,and answering user questions
  • Support on all business systems including RMS, ACC, Dynamics 365, SharePoint, Causeway and EPerform
  • Supply Chain Management – supporting process to ensure all proposed subcontractors have been assessed, are approved and listed on the Group database and compliant with the subcontractor Financial checking process
  • Co-ordinate, record and process all Tender Sub-Contractor and Supplier returns within the Common Data Environment, in conjunction with commercial colleagues
  • Monitor and report on Common Data Environment information issues / releases through the Bid period.
  • Coordination of Bid Technical Workshops with internal and external stakeholders
  • Support the Precon team in the production and completion of Prequalification Questionnaires,
  • Support Pre-Construction Director and core team in administrative duties, including attendance and minute taking at Bid Team/stakeholder meetings, drafting agendas, capturing, and tracking any actions
  • Support the team to enhance the final Bid submission utilising appropriate software packages.
  • Maintain and update libraries of common responses
  • Provision of administrative support to the precon and commercial team including filing, scanning, archiving, photocopying and any other duties
  • Assist monitoring compliance and reporting as required including Framework deliverables
  • Assist the Pre-Construction Director by ensuring that all parties responsible for the relevant elements of the pre-contract project execution plan are identified and that the elements are being progressed
  • Support with compilation of all Gateway Checklists (GW1 – GW4) for all projects
  • Assist the Business Development Manager and Pre-Construction Director by ensuring Dynamics systems are kept up to date and Gateway Meetings arranged and signed off on this system
  • Compile, process and issue sub-contract orders.
  • Assist in the preparation and production of documents and reports as directed by Commercial team.
  • Contribute to improving the business by putting forward new ideas and, when requested to do so, implementing change.

About You:

  • Experience in the use of document control information systems and office administration
  • Able to work on own initiative, unsupervised, whilst maintaining a high standard of work.
  • Able to work as part of a team and integrate with different personalities and styles.
  • Ability to multi-task and prioritise with excellent organisational skills
  • Detail orientated with a methodical and precise approach.
  • IT/Business Systems Skills.
  • Excellent communication skills – both written and verbal.
  • Helpful, positive, and flexible approach.
  • Reliable and honest
