This role will be working for Robertson Facilities Management based at the Centre for Health Science in Inverness.

Your new role

Welcome visitors to the premises, provide information and directions, contacting Client staff as necessary.
Ensure authorised access only by following security procedures.
Follow the CfHS Room Booking Policy and other RFM Procedures to make bookings on behalf of Tenants and Clients on the Centre booking system.      

Run reports as directed to provide information to Support Services and Clients. Ensure re-confirmations are undertaken to maximise room usage.
To operate at all times with safe working practices with due regard to Health and Safety regulations, COSHH, Control of Infection, waste disposal, etc in accordance with legislative requirements and policies and procedures of RFM.
Receive incoming telephone calls and small deliveries. Direct these as appropriate.
Maintain a record in Reception diary of relevant happenings for future reference.
Provide clerical support for the Management Team together with the preparation of accounts, invoices and other services relating to the CfHS contract.
Ensure records are correctly filed.
Undertake administrative duties including: -
Providing administrative support to the entire CfHS RFM Team.
Logging Helpdesk requests.
Maintaining records.
Compiling reports.
Managing petty cash and token change float.
Administration of invoices.
Photocopying services for tenants.
Taking meeting minutes.
Maintain key and access card security, ensuring that any key and access card issues are logged, signed for and returned (if not a long term issue).
Liaise with the Support Service Team regarding Client deliveries and collections to the premises.
Manage deliveries and collections for RFM.
Deal with Events enquiries and co-ordinate bookings and arrangements following RFM Procedures.

The working hours for this role are 20 hours per week Monday to Friday (Evenings between 17:00 - 21:00)
