Your new role

About the role:

 

Working in the People Systems and Data Team, this role provides coordination and administrative support across people reporting, Power BI access control, audit evidence, standard operating procedures and reporting triage. Responsible for preparation of regular reports and KPI templates, support data preparation and checks, action approved system access requests and coordinate meetings or escalations to ensure timely, accurate and well-governed reporting support for the wider People and Culture function.

 

What you’ll do: 

 
  • Prepare and maintain regular people reports, recurring report outputs and KPI templates in line with agreed reporting schedules, definitions and deadlines, completing data preparation and first-level data checks to support accurate reporting and highlighting discrepancies or issues for review and escalation where required.

  • Provide first-line reporting triage by reviewing incoming reporting requests, confirming requirements, identifying whether a self-service Power BI report or existing template can meet the need, and escalating exceptions to the People Insights and Analytics Lead.

  • Maintain Power BI and people system access administration, including actioning approved access requests, updating access logs, retaining evidence in line with agreed access control procedures, and ensuring requests are accurately recorded, progressed and closed.

  • Maintain audit evidence, access records, reporting logs and supporting documentation to demonstrate compliance with agreed procedures, UK data protection requirements and Robertson policies, while ensuring employee information is handled securely and confidentially in line with Information Security policies and procedures.

  • Create, update and maintain standard operating procedures (SOPs), guidance notes and process documentation for recurring reports, KPI templates, Power BI access and reporting request processes.

  • Coordinate meetings, reporting check-ins and escalation discussions, including arranging sessions, preparing relevant information, tracking actions and following up on agreed next steps, while supporting the People Insights and Analytics Lead with the collation of information for reporting cycles, board/KPI reporting and insight packs.

  • Engage with teams across People Partnering, People & Culture, RFM HR, IT, Payroll, Comms & Marketing and other stakeholders to clarify reporting requirements, route requests through the correct process and support users in accessing agreed self-service reporting tools, dashboards, templates and guidance.

  • Monitor recurring administrative and reporting activities to ensure deadlines are met, risks or delays are highlighted promptly, priorities remain visible, and provide general coordination and administrative support to the People Systems and Data Team, including document control, action tracking and information collation.

 

What you’ll need: 

 

  • Previous administrative or coordinator experience within a fast-paced HR, systems, data or shared services environment, with experience preparing regular reports, maintaining templates or supporting management information processes.
  • Good working knowledge of Microsoft 365, particularly Outlook, Word, Excel and PowerPoint, with advanced Excel skills for data preparation, validation, formatting and maintaining report templates.
  • Familiarity with Power BI or other reporting tools would be preferred, including confidence in supporting users with access and signposting to dashboards.
  • Strong attention to detail and the ability to identify data discrepancies, incomplete information or process gaps, alongside experience maintaining SOPs, logs, trackers, access records or audit evidence.
  • Excellent organisational skills with the ability to manage recurring tasks, reporting schedules, meeting coordination and action tracking, while prioritising work, following agreed processes and escalating issues appropriately.
  • Good written and verbal communication skills, with the ability to clarify requirements and provide clear updates to stakeholders.
  • A professional, proactive and process-driven approach, with a commitment to handling sensitive employee data confidentially, improving consistency and service quality, and a willingness to learn new systems, reporting processes and data quality practices.
